This policy explains how Securatrade collects, uses, and protects your personal data in accordance with UK GDPR and the Data Protection Act 2018.

1. Who we are

Securatrade Ltd ("we", "us", "our") is the data controller for the personal data described in this policy. We are registered in England and Wales and operate the Securatrade platform at securatrade.co.uk.

Our contact details are set out in section 13 of this policy. If you have any questions about how we handle your data, please contact us.

2. Data we collect

We collect personal data when you use our Platform. The type of data collected depends on how you use the service:

Account and identity data

  • Full name
  • Email address
  • Phone number
  • Password (stored in hashed form)
  • Account type (trade or customer)
  • Date of account creation

Trade-specific data

  • Trade type and description
  • Service area and location
  • Trade type, service area and public profile details
  • Identity and address verification documents
  • Bank account details (for payment release)
  • Business name (if applicable)

Job and payment data

  • Job descriptions, scope, timelines, and milestones
  • Payment amounts and transaction records
  • Milestone completion and release records
  • Concern or dispute records
  • Communications between parties through the Platform

Technical data

  • IP address
  • Browser type and version
  • Device type and operating system
  • Pages visited and actions taken on the Platform
  • Timestamps of access and activity
  • Cookie identifiers (see section 9)

Data from third parties

We may receive data from third-party identity verification providers and payment processors where you use those services in connection with the Platform.

3. How we use your data

We do not use your personal data for automated individual decision-making or profiling that produces legal or similarly significant effects without your explicit consent.

4. Legal basis for processing

We process your personal data on one or more of the following legal bases under UK GDPR:

  • Performance of a contract: where processing is necessary to provide the Platform service you have requested โ€” including managing jobs, holding funds, and processing payments.
  • Legal obligation: where we are required by law to process your data โ€” for example, financial record-keeping and anti-money laundering checks.
  • Legitimate interests: where we have a legitimate business interest in processing your data, provided that interest does not override your rights โ€” for example, improving the Platform, preventing fraud, and ensuring security.
  • Consent: where you have given us explicit consent โ€” for example, for marketing communications. You may withdraw consent at any time.

5. Sharing your data

We do not sell your personal data to third parties. We may share your data with:

  • Payment processors: to process payments made through the Platform.
  • Identity verification providers: to carry out trade verification checks.
  • Cloud and hosting providers: to store and process data on our behalf. These providers are bound by data processing agreements.
  • Customer support tools: to help us manage support requests.
  • Other users of the Platform: job information is shared between the Trade and Customer involved in a job (e.g. name, contact details, job scope). We do not share personal data with other users beyond what is necessary for the job.
  • Law enforcement or regulatory authorities: where required or permitted by law.

All third parties we share data with are required to handle it securely and in accordance with applicable data protection law.

6. International data transfers

We aim to process and store your data within the UK and European Economic Area (EEA). Where data is transferred to countries outside the UK/EEA, we ensure appropriate safeguards are in place โ€” such as Standard Contractual Clauses approved by the UK Information Commissioner's Office โ€” to protect your data.

7. Data retention

We retain your personal data for as long as necessary for the purposes described in this policy. In general:

  • Account data is held for as long as your account is active and for a reasonable period after account closure.
  • Job and payment records are retained for a minimum of 7 years for legal and financial compliance purposes.
  • Identity verification documents are retained for as long as required by applicable law.
  • Marketing preferences and consent records are held until you withdraw consent or close your account.
  • Technical and usage data is typically retained for up to 12 months.

We will delete or anonymise your data when it is no longer required, in accordance with our internal data retention policy.

8. Your rights

Under UK GDPR you have the following rights in relation to your personal data:

Ask us to correct inaccurate or incomplete personal data.

Ask us to delete your personal data in certain circumstances.

Ask us to restrict how we process your data in certain circumstances.

Object to processing based on legitimate interests or for direct marketing.
Right to withdraw consent
Withdraw any consent you have given at any time without penalty.
Right to complain
Lodge a complaint with the ICO if you believe your rights have been infringed.

To exercise any of these rights, please contact us using the details in section 13. We will respond within one calendar month. We may need to verify your identity before processing your request.

Please note that some of these rights are subject to conditions and exemptions under UK GDPR โ€” for example, we may be required to retain certain data by law even if you request deletion.

9. Cookies

We use cookies and similar technologies to operate and improve the Platform. Cookies are small text files placed on your device when you visit the Platform.

Essential cookies

These cookies are necessary for the Platform to function. They enable things like logging in, maintaining your session, and basic security. You cannot opt out of these without disabling the Platform.

Analytics cookies

We may use analytics cookies to understand how users interact with the Platform, so we can improve it. These are only placed with your consent where required by law.

Marketing cookies

We do not currently use marketing or advertising cookies. If this changes, we will update this policy and seek your consent where required.

You can manage or disable cookies through your browser settings. Note that disabling essential cookies may affect how the Platform operates.

10. Security

We take data security seriously. We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, disclosure, alteration, or destruction. These measures include encryption, access controls, and regular security reviews.

Payment data is processed by our third-party payment providers who maintain their own industry-standard security measures, including PCI-DSS compliance where applicable.

No method of transmission over the internet is completely secure. While we take every reasonable step to protect your data, we cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately.

11. Children

The Platform is not intended for use by children under the age of 18. We do not knowingly collect personal data from children. If we become aware that personal data has been collected from a child without appropriate consent, we will delete it promptly. If you believe a child has provided personal data to us, please contact us immediately.

12. Changes to this policy

We may update this Privacy Policy from time to time to reflect changes in law, our practices, or the Platform. We will notify you of material changes by email or by a notice on the Platform. The date at the top of this policy indicates when it was last updated.

Your continued use of the Platform after any change constitutes your acceptance of the updated policy. If you do not accept the updated policy, please stop using the Platform and contact us to close your account.
